PTA CHAIR POSITIONS

General Meeting help: 1 person each meeting to organize purchase and sales of food for meeting nights. Up to 4 persons each meeting night to help sell food. Organizers will purchase/prepare plates, napkins & drinks. Approx. time commitment 2 hrs per meeting.

Room Leader: 1 room leader per class (about 27 total). Room leader works with teacher to organize and recruit volunteers for 2 parties per year. I would also like for room leaders to organize teacher appreciation gifts/crafts. Room leader may also assist in preparation for carnival booth and silent auction items. Approx. time commitment 3 hrs/year.

On-site coordinator: How do the students get all those PTA letters? After letters are printed, the stacks are left in PTA drawer for on-site coordinator to collate and distribute among teacher mailboxes.

Volunteer Coordinator: 1 for k-2 and 1 for 3-5. Coordinator calls potential volunteers to gather for school programs or functions. (Works with each function’s organizer). Time commitment varies depending on how large the need for volunteers is and how quickly people volunteer.

Newsletter: Collects articles from teachers, staff and PTA members to place into newsletter. The newsletter is sent to printing. About 30-60 min per newsletter every 6 weeks. Can split time between 6 people. (1 person per newsletter).

Historian: Scrap bookers welcome! This chairperson is in charge of collecting info & photos throughout the year. May work with yearbook. Possibly 3-4 hours of time per year?

5th Grade Graduation: Organizes reception party for graduates and family members. The organizer is responsible for purchasing cake, drinks, dinnerware and decorations. Also, responsible for recruitment of volunteers to serve. (Works with on-site coordinator). About 1-3 hours time commitment?

Reflections: National Art contest sponsored by PTA. All resources for this program is on the Texas PTA website. Chairperson(s) is responsible for printing all necessary materials for announcement and registrations of students. Works with Ms. Wynn in collection of artwork. Chairperson also responsible for recruitment of judges for each category submitted. This person(s) will purchase all awards to be given to contest winners. About 8 hour commitment per year.

Environmental awareness: National contest for environmental awareness. All rules and materials necessary found on Texas PTA website. About 6 hour commitment per year.

Membership: Membership chair should begin in the end of the previous school year. Over the summer posters and board set-up is determined by theme. Texas PTA has info on their website. During the membership drive the “race” board is adjusted as classes begin bringing in their enrolments. This chairperson is also responsible for lifetime members’ nominations.

Fundraiser: This chair position is exactly as it sounds. This person(s) is in charge of choosing which fundraiser to do for the year. They are to distribute any information or forms to the classes, collect orders and payments and organize distribution of orders. The fundraiser could also be as simple as only asking for donations like a flat rate per child. Approximately 10 hours of commitment.

Carnival: This is a task that should always have at least 3 or more persons. The carnival is divided into 3 sections:

Booths: Booth responsibility includes but is not limited to choosing the carnival theme, choosing activities, renting bounce house and dunk tank, drawing the layout of the carnival and giving the layout to facilities for set up. Each class is given the choice of which booth activity to perform. Room leaders are encouraged to assist in the booth set-up. Booth chairperson must acquire volunteers no less than 1 week prior to carnival date. Ideally this position is working over the summer to ensure rental reservations.

Concessions: Makes food choices based on theme. Food choices should be easy to carry, “on the go” kinds of food. Responsible for renting sno-cone machine and purchasing the food items, like sno-cone syrup. Must also acquire volunteers no later than 1 week before carnival date. Best time to start is over the summer to ensure sno-cone merchandise availability.

Silent Auction: This position needs to be started at the end of the previous school year. This chair position is responsible for drafting donation request letters, distributing said letters and gathering the donations items. Donation items are also requested from the classes. The silent auction items are then packaged nicely in baskets or decorative bags. Each basket should be made with a theme in mind. Descriptions of items are to be made and bid sheets. Volunteers must be scheduled to be with the silent auction at all times.

Hospitality: This person(s) is in charge of throwing 2 luncheons per year: the teacher back to school luncheon and the teacher appreciation luncheon. Hospitality is also in charge of bringing food for the boohoo breakfast and one council meeting.

Bi-Lingual coordinator: The bi-lingual coordinator makes sure any material sent home in English also has a Spanish version properly worded. I would also use the coordinator as an interpreter at general PTA meetings.

Grand friends: The grand friends chair is responsible for organizing and running grand friends week. When all pictures have been taken, the chairperson gets the photos made to be distributed to the classes. Would work with volunteer coordinator in getting volunteers to help.

Directory: This chair position gathers information from school and places into a catalog format to be distributed among classes.

Teacher Can Raffle: This person coordinates collection of cans from teachers and gets volunteers to sell tickets. Can raffle person responsible for collection of monies and signs for “advertisement”.

Parliamentarian: The parliamentarian is the person who has bylaw knowledge and keeps PTA actions within bylaw rules.

By-laws: The by-laws chair is responsible for keeping the by-laws recent and updated. During the years that by-laws need to be revised, the by-laws chairperson is responsible for selecting a committee for revision. When revision is complete the by-laws must be submitted to the Austin office.

Secretary: This is an executive board position that requires attendance to every board meeting. The secretary is responsible for recording all meetings and transcription of meetings to be placed in file.

Treasurer: The treasurer is responsible for all monies transacted through PTA functions. The treasurer collects money from the function’s organizers and deposits into PTA account. Treasurer keeps track of budget and bank statements. This position is also keeper of the checkbook and reimbursements. At the end of the year the treasurer reconciles any discrepancies.

Vice-president: This is another executive board position that requires attendance at every board meeting. The vice-president assists president in every aspect of PTA, and attends functions in place of president should the president not be able to attend. The vice-president is essentially being groomed for president after the president has completed their term.

President: President oversees all PTA functions and presides over all board and general meetings. President organizes all events and makes the calendar. President makes sure website is updated for clear communication between PTA, school and community. PTA president works with principal to ensure communications between teachers and parents.
