656AA  Records Management Officer


REPORTS TO: Deputy Superintendent

QUALIFICATIONS:

  1. Bachelors degree preferred.  Training as paralegal or equivalent experience preferred.

  2. Minimum, three years’ experience in office or administrative setting requiring customer interaction and service.  Experience in records management and handling public information requests desired. Familiarity with the Texas Public Information Act or other governmental public information statutes preferred.

  3. Automobile travel within District and to local courthouses required. Must have own automobile.

JOB GOAL: 

 

  1. The Records Management Officer manages all aspects of the District’s records management department, including handling all public information requests in compliance with the Texas Public Information Act, maintaining all internal records retention and review schedules, including student records.

  2. The Records Management Officer also responds to subpoenas for District records and manages District records storage and retrieval functions.

  3. The Records Management Officer must be able to work independently and to communicate effectively with all levels of District personnel.

 


TERMS OF EMPLOYMENT:  Administrative/Professional Pay Grade 1, 226 days.  Wage/Hour Status:  Exempt.

 


 

MAJOR RESPONSIBILITIES

 

1. Serve as District’s records management/public information officer.
2. Handle all requests for public information and student educational records.
3. Work with school attorney in filling requests for public information and student educational records.
4. Serve as custodian of District records for purposes of compliance with subpoenas and requests for depositions on written
    questions for records.
5. Manage District records retention schedules and ensure District records are maintained and destroyed in compliance with
    applicable records control schedules.
6. Develop, implement, and manage records automation, storage, and filing systems.
7. Provide training and assistance to central and campus staff and administrators in following records retention schedules and
    maintaining District records.
8. Maintain records of staff and student elections for release of information.
9. Conduct records inventories and audits.
10. Coordinate annual records roundup and ensure proper records disposition.
11. Perform other tasks and special projects as assigned by the Deputy Superintendent.
12. Maintain prompt and regular attendance.

 

Equipment used: Computer, copier, fax, printer, scanner 

Mental Demands:  Reading, ability to communicate effectively (verbal and written); maintain emotional control under stress; interpret policy, procedures and data.

Physical Demands:  Repetitive hand motions; prolonged use of computer terminal; frequent district-wide travel; occasional statewide travel; frequent prolonged and irregular hours, and ability to lift and carry up to 30 lbs.
