785 - SECRETARY, SUBSTITUTE SERVICES


QUALIFICATIONS:        

  1. High School Diploma or GED

  2. Fifteen hours college credit with some business orientation; or equivalent business school background; or three years of general clerical/secretarial experience

  3. Keyboarding and computer proficiency

  4. Computational, organizational, and communication skills

REPORTS TO:                     Director of Human Resources

JOB GOALS:                 

  1. To secure substitutes for teachers and paraprofessionals.

  2. To process and distribute the Substitute Handbook.

  3. To assist the Human Resources Department to operate in a smooth and efficient manner


TERMS OF EMPLOYMENT:  Noncontractual (At-will);       Paygrade4 Estimated 228  days;   estimated 8 hours  daily; wage/hour: nonexempt


MAJOR RESPONSIBILITIES AND DUTIES
 

  1.  

Input every employee into the SEMS systems as it relates to payroll. Enter absences for employees when they fail to call the system for payroll verification.

  1.  

Verify that all vacant positions are in the SEM system for payroll verification.

  1.  

Monitor jobs on system, if there are jobs that are not filled reopen job on system for substitute.

  1.  

Assist all employees with SEM system daily.

  1.  

Receive information from principals on the substitute’s performance in the classroom.        

  1.  

Document and file information in the substitute’s application/file. 

  1.  

Notify the Director of Human Resources of all negative reports.

  1.  

Receive complete applications (transcripts, certificate, W-4 forms, I-9 forms, etc.) and interview applicants daily for substitute teacher and substitute aide positions.

  1.  

Ensure that the substitute application file is up-to-date, all credentials are present, and all files are readily accessible to other Human Resources department employees including the payroll department.

  1.  

Verify files with monthly payroll reports.  Continually update central office files to ensure an accurate file on each person substituting in the district.

  1.  

Shred/destroy outdated substitute records in accordance with the district-wide records management plan.

  1.  

File a copy of the reasonable assurance letter with the applications.

  1.  

Design and maintain computer substitute file.

  1.  

Run CHR daily or as needed for all employees.

  1.  

Inform the Director of Human Resources of all negative CHR results.

  1.  

Maintain documentation on all applicants and volunteers, including entry on main computer, those sent to Austin; inform all supervisors of results, after review by the Director of  Human Resources .

  1.  

Revise, type, proof, edit, print, and distribute on an annual basis the Substitute Handbook.

  1.  

Schedule in-service meetings for new and returning substitutes.  (Schedule room, A-V equipment, hand outs, sign-in sheets, speakers, refreshments, etc.)

  1.  

Notify prospective and returning substitutes of required in-service meetings.

  1.  

Document substitutes’ attendance of required in-service meetings on the substitutes’ application/file.

  1.  

Input, edit, correct PEIMS data as related to substitutes.

  1.  

Assist in distributing reasonable assurance letters to C/T employees.

  1.  

Notarize papers for employees.

  1.  

Answer the department’s telephone in the absence of the secretary or when multi-lines are ringing; maintain a helpful, positive manner when responding to inquiries.

  1.  

Assist with copying materials for principals, when needed.

  1.  

Notifies Director when tasks are complete.  Demonstrates willingness to assist in other areas of the Human Resources Department.

  1.  

Limits personal telephone calls during the business day.

  1.  

Complies with directions and instructions from supervisor and performs other tasks and assumes such responsibilities as related to the position and assigned.

  1.  

Maintains positive and cooperative working relationships with colleagues and others in the conduct of district business and demonstrates team work in daily activities.

  1.  

Is prompt and timely in completing assignments and attending to details accurately and efficiently.

  1.  

Is regular in attendance and complies with notification procedures for absences.

  1.  

Provides complete and accurate information in the conduct of district business.

  1.  

Maintains confidentiality in the conduct of district business.

  1.  

Complies with district policies, as well as state and federal laws and regulations.

  1.  

Adheres to the district’s safety policies and procedures.

  1.  

Participates in staff development training programs to improve job performance.

  1.  

Participates in meetings and special events as assigned.

EQUIPMENT USED:

Uses computer, typewriter, printer, copier, FAX, calculator, and telephone. 

WORKING CONDITIONS:

Mental Demands: Reading, ability to communicate effectively (verbal and written); ability to perform basic arithmetic; maintain emotional control under stress; works with frequent interruptions. 

Physical Demands/Environmental Factors:  Repetitive hand motions; prolonged use of computer terminal and telephone; occasionally lifting heavy boxes
