783 - SECRETARY, MIDDLE SCHOOL PRINCIPAL


QUALIFICATIONS:        

  1. High School Diploma or GED

  2. Fifteen hours college credit with some business orientation; or equivalent business school background; or  three years of general clerical/secretarial experience

  3. Keyboarding and computer proficiency

  4. Computational, organizational, and communication skills

REPORTS TO:                     Principal

JOB GOALS:                 

  1. To assure the smooth and efficient operation of the Principal’s office.

  2. To maintain the school’s financial records.                   

  3. To facilitate communication between staff, campuses, parents, and community.


TERMS OF EMPLOYMENT:  Noncontractual (At-will); Paygrade5   Estimated 205 days;  estimated 8 hours  daily Wage/Hour Status:  Nonexempt


MAJOR RESPONSIBILITIES AND DUTIES
 

  1.  

Enroll students in the proper area; secure required documents.

  1.  

Request, receive, and send student record information.

  1.  

Record and update information for each student’s cumulative folder.

  1.  

Enter enrollment data into computer and keep information current.

  1.  

Assist with student crises such as forgotten lunch money, forgotten lunches, torn clothes, jammed lockers.

  1.  

Enter discipline referrals on the computer; type discipline letters for assistant principals.

  1.  

Type all correspondence, reports, budget, purchase orders, warehouse requests, award certificates.

  1.  

Type master schedule and weekly bulletin.

  1.  

Order all supplies for the school and machines; order repairs on the machines.

  1.  

Compile year end information for teacher certification and records; maintain campus personnel files.

  1.  

Assist with Workers’ Compensation forms.

  1.  

Post school calendar.

  1.  

Assist with marquee and data signs in cafeteria.

  1.  

Maintain activity fund and general operating budget.

  1.  

Write checks, balance checkbook; reconcile bank statements.

  1.  

Accept textbook fines turned in to teachers; give refunds when books are found.

  1.  

Calculate and type financial reports each month.

  1.  

Keep up with receiving reports and return to accounting in a timely manner.

  1.  

Keep up with taxable income,  prepare quarterly report.

  1.  

Receive money, make deposits, and pay all bills.

  1.  

Assist the attendance clerk for one hour in the morning.

  1.  

Assist with substitutes, getting them signed in, orienting them to the school, giving out keys.

  1.  

Ensure that all student records are current at the beginning of school.

  1.  

Serve as registrar for student records.

  1.  

Compute time cards; type absent from duty reports, calculate payroll for teachers, substitutes, clerical/technical, and manual trades.  Submit payroll report on time.

  1.  

Prepare payroll for Saturday school.

  1.  

Handle all student accounts.

  1.  

Collect and compile data for TISD personnel directory from campus.

  1.  

Assist with fund raising efforts.

  1.  

Assist with projects, fire-drills, meetings.

  1.  

Submit maintenance requests via the computer.

  1.  

Assist in the clinic with sick children when the nurse is absent.

  1.  

Type PTA newsletter information on computer.

  1.  

Make the PTA feel appreciated by the staff.

  1.  

Assist the PTA with money collection, balancing their account, and tickets for major projects.

  1.  

Complies with directions and instructions from supervisor and performs other tasks and assumes such responsibilities as related to the position and may be assigned.

  1.  

Maintains positive and cooperative working relationships with colleagues and others in the conduct of district business and demonstrates teamwork in daily activities.

  1.  

Is prompt and timely in completing assignments and attending to details accurately and efficiently.

  1.  

Has regular attendance and complies with notification procedures for absences.

  1.  

Provides complete and accurate information in the conduct of district business.

  1.  

Maintains confidentiality in the conduct of district business.

  1.  

Complies with district policies, as well as state and federal laws and regulations.

  1.  

Adheres to the district’s safety policies and procedures.

  1.  

Participates in staff development training programs to improve job performance.

  1.  

Participates in faculty meetings and special events as assigned.

 

EQUIPMENT USED: 

Uses computer, typewriter, printer, copier, FAX, calculator, and telephone. 

WORKING CONDITIONS: 

Mental Demands: Reading, ability to communicate effectively (verbal and written); ability to perform basic arithmetic and to compile statistical data; maintain emotional control under stress. 

Physical Demands/Environmental Factors:  Repetitive hand motions; prolonged use of computer terminal;  works with many interruptions.
