777 - SECRETARY, COORDINATOR OF FOOD SERVICE


QUALIFICATIONS:   

  1. High School Diploma or GED

  2. Fifteen hours college credit with some business orientation; or equivalent business school background; or three years of general clerical/secretarial experience

  3. Keyboarding and computer proficiency

  4. Computational, organizational, and communication skills

REPORTS TO:                     Coordinator of  Food Service

 

JOB GOALS:                 

  1. To maintain current district, TDA, and federal mandated reports.

  2. To maintain an efficient office management system for the food service department and the distribution center.

  3. Maintain current documents pertaining to the free/reduced meal programs.


TERMS OF EMPLOYMENT:  Noncontractual (At-will); Paygrade4  Estimated 228  days;  estimated 8 hours  daily Wage/hour status:  nonexempt


MAJOR RESPONSIBILITIES AND DUTIES
 

1.     

Maintain current knowledge of federal programs, guidelines, and regulations.

2.         

Assist coordinator in preparing final reports for the food service program and TDA.

3.       

Requisition forms from Texas Department of Agriculture as needed.

4.       

Answer phone calls, including emergency, vendor, and maintenance; direct as necessary; schedule appointments.

5.       

Maintain log of incoming calls.

6.       

Type letters, memos, and correspondence as needed.

7.       

Log and file all materials and information pertaining to food service.

8.       

Operates computer programs efficiently, personal typing system, calculator, and printer.

9.       

Is proficient in the English language, secretarial skills, and telephone procedure.

10.    

Orders all office supplies and cafeteria supplies.

11.    

File and distribute invoices, records, and orders from cafeterias.

12.    

Prepare free and reduced meal applications, news media releases, letters to parents, and other pertinent information relating to the free and reduced meal program.

13.    

Log and file all Free and Reduced meal applications accurately and timely according to the TDA guidelines.

14.    

Prepares new employee folder, secures all appropriate forms and documents for employment

15.    

Notifies personnel and payroll departments of all new and exiting employees and furnishes same with necessary forms.

16.    

Maintains all food service personnel records.  Assist in preparing evaluation forms for dissemination to the employees.

17.    

Maintain discretion and ability to assume responsibilities pertaining to food service and general office procedures.

18.    

Able to make decisions in order to assist as efficiently as possible.

19.    

Be knowledgeable of institutional food and equipment; packaging, quantities; and labeling.

20.    

Ability to handle large sums of money in a responsible and safe manner.

21.   

Prepare and complete the verification process according to the TDA guidelines.

22.    

Ensure temporary status applications are updated as needed.

23.    

Update and maintain direct certification documents according to the TDA guidelines.

24.    

Complies with directions and instructions from supervisor and performs other tasks and assumes such responsibilities as may be assigned.

25.    

Maintains positive and cooperative working relationships with colleagues and others in the conduct of district business and demonstrates team work in daily activities.

26.    

Is prompt, timely, and thorough in completing assignments and attending to details accurately and efficiently.

27.    

Meets attendance standards and complies with notification procedures for absences.

28.    

Provides complete and accurate information in the conduct of district business.

29.    

Maintains confidentiality in the conduct of district business.

30.    

Complies with district policies, as well as state and federal laws and regulations.

        31.

Adheres to the district’s safety policies and procedures.

        32.

Participates in staff development training programs to improve job performance.

        33.

Participates in meetings and special events as assigned.

EQUIPMENT USED: 

Uses computer (name word processor software), typewriter, printer, and copier.

                Mental Demands: 

                Reading; ability to perform basic arithmetic; ability to communicate effectively (verbal and
                written); maintain emotional control under stress.
 

                Physical Demands/Environmental Factors: 

                Repetitive hand motions; prolonged use of computer.  Works with frequent interruptions.
