776 - SECRETARY, TITLE I


QUALIFICATIONS:        

  1. High School Diploma or GED

  2. Fifteen hours of college credit with some business orientation; or equivalent business school background; or three years of general   clerical/secretarial experience

  3. Keyboarding and computer proficiency

  4. Computational, organizational, and communication skills

REPORTS TO:                     Director of Head Start/Title I

JOB GOALS:                 

  1. To maintain current district, TEA, and federal mandated reports.

  2. To maintain an efficient office management system for the Coordinator of Title I.

  3. To maintain a professional and cooperative atmosphere with colleagues at the administrative and campus level.


TERMS OF EMPLOYMENT:  Noncontractual (At-will);Paygrade  4 Estimated 228  days;  estimated 8 hours  daily         Wage/hours status:  Nonexempt


MAJOR RESPONSIBILITIES AND DUTIES
 

  1.  

Prepare correspondence, forms, reports, fliers, initiations, etc. for the department using approved software and assigned computer.
  1.  

Prepare and disburse information to principals, instructional consultants, and teachers that are on identified Title I campuses in a timely manner.
  1.  

Perform routine bookkeeping tasks, including complex mathematical operations for the department.
  1.  

Design and create forms as needed.
  1.  

Assist with the preparation of purchase orders and payment authorizations.
  1.  

Maintain physical and computerized departmental files.
  1.  

Monitors and processes personnel time records including leave requests and reports; complies information and submits to payroll department.
  1.  

Maintain payroll for HELP teachers.
  1.  

Receive, sort and distribute mail and other documents to department staff.
  1.  

Maintain a schedule of appointments and makes travel arrangements for department staff.
  1.  

Facilitate communication with parents about Title I programs.
  1.  

Assist parents with any questions and/or concerns about summer school.
  1.  

Facilitate the payroll process for summer school.
  1.  

Assist with compiling and preparing budgets for Title I.
  1.  

Keep and log Title I information for audit purposes.
  1.  

Retrieve and assemble student data from campuses to disseminate required data for state and federal records.
  1.  

Maintain student records as needed.
  1.  

Comply with directions and instructions from supervisor; perform other tasks and assume such responsibilities as may be assigned.
  1.  

Maintain positive and cooperative working relationships with colleagues and others in the conduct of district business and demonstrate teamwork in daily activities.
  1.  

Is prompt, timely and thorough in completing assignments and attending to details accurately and efficiently.
  1.  

Is regular in attendance and complies with notification procedures for absences.
  1.  

Provide complete and accurate information in the conduct of district business.
  1.  

Comply with district policies, as well as state and federal laws and regulations.
  1.  

Adhere to the district's safety policies and procedures.
  1.  

Participate in staff development training programs to improve job performance.
  1.  

Participate in meetings and special events as assigned.
  1.  

Assists in maintain PEIMS data.

EQUIPMENT USED:

                Uses calculator, copier, typewriter, computer, fax machine, and other office equipment. 

WORKING CONDITIONS:

Mental Demands:  Reading; ability to communicate effectively (verbal and written); maintain emotional control under stress; ability to perform basic arithmetic; ability to perform multiple tasks.   

Physical Demands/ Environmental Factors:  Moderate standing, walking, stooping, bending, and lifting. Work with frequent interruptions; repetitive hand motions; prolonged use of computer.
