774 - SECRETARY, CAREER AND TECHNICAL EDUCATION


QUALIFICATIONS:        

  1. High School Diploma or GED

  2. Fifteen hours college credit with some business orientation; or equivalent business school background; or three years of general clerical/secretarial experience

  3. Keyboarding and computer proficiency

  4. Computational, organizational, and communication skills

  5. Bookkeeping proficiency

REPORTS TO:   Career and Technical Education Coordinator

JOB GOALS:                 

  1. Assist in departmental planning                     

  2. Process purchase order requests

  3. Facilitate the office management

  4. Compile information for required reports


TERMS OF EMPLOYMENT:  Noncontractual (At-will); Paygrade 4
Estimated 226 
days; estimated 8 hours  daily; Wage/hour status: Non-exempt


MAJOR RESPONSIBILITIES AND DUTIES
 

  1.  

Prepare correspondence, forms and reports for the department using personal computer.

  1.  

Compile pertinent data as needed when preparing various state and local reports.

  1.  

Maintain physical and computerized departmental files.

  1.  

Maintain records on Career and Technical Education students and teachers.    

  1.  

Input PEIMS data required for CTE department.

  1.  

Perform routine bookkeeping tasks, including simple arithmetic operations and maintaining the budget.

  1.  

Assist with the preparation of purchase orders and payment authorizations.

  1.  

Welcome and facilitate visitors; provide information or assistance as requested.

  1.  

Effectively communicate with staff and general public.

  1.  

Update, reorder, and maintain an adequate supply of all printed material.

  1.  

Reserve meeting rooms, supply and coordinate material for meetings, including media and printed material; arrange for food/drinks when appropriate.

  1.  

Maintain a schedule of appointments and make travel arrangements for coordinator.

  1.  

Process monthly travel requests for teachers; keep monthly travel reports. 

  1.  

Maintain confidentiality of information.                                    

  1.  

Complies with directions and instructions from supervisor and performs other tasks and assumes such responsibilities as related to the position and that may be assigned.

  1.  

Maintains positive and cooperative working relationships with colleagues and others in the conduct of district business and demonstrates team work in daily activities.

  1.  

Is prompt and timely in completing assignments and attending to details accurately and efficiently.

Meets attendance standards and complies with notification procedures for absences.

EQUIPMENT USED: 
Uses computer, scanner, printer, copier, FAX, calculator, and telephone.
 

WORKING CONDITIONS:

Mental Demands: Reading, ability to communicate effectively (verbal and written); ability to perform basic arithmetic and to compile statistical data; maintain emotional control under stress; ability to complete multiple tasks.

Physical Demands/Environmental Factors:  Repetitive hand motions; prolonged use of  computer terminal.
