774 - ADMINISTRATIVE ASSISTANT, CAREER AND TECHNICAL EDUCATION


REPORTS TO:   Career and Technical Education Coordinator

 

QUALIFICATIONS:        

  1. Associates Degree in Business, Accounting or related field from an accredited institution

  2. Proficiency in MS Office applications, keyboarding and bookkeeping   

  3. Computational, organizational, and communication skills

  4. Two years experience in secretarial and bookkeeping related function

JOB GOALS:                 

  1. Assist in departmental planning                     

  2. Process purchase order requests

  3. Facilitate the office management

  4. Compile information for required reports

  5. Maintain office budget

PRIMARY PURPOSE:  To perform typing, bookkeeping, accounting and data analysis at a level that will ensure effective practices and quality results in the Career and Technical Education Department.


TERMS OF EMPLOYMENT:  Noncontractual (At-will); Paygrade 5; Estimated 226 days; estimated 8 hours  daily; Wage/hour status: Non-exempt


MAJOR RESPONSIBILITIES AND DUTIES
 

  1.  

Prepare correspondence, forms and reports for the department using personal computer.

  1.  

Compile pertinent data as needed when preparing various state and local reports.

  1.  

Maintain physical and computerized departmental files.

  1.  

Maintain records on Career and Technical Education students and teachers.

Perform routine bookkeeping tasks, maintain the budget and conduct data analysis.

  1.  

Assist with the preparation of purchase orders and payment authorizations.

  1.  

Welcome and facilitate visitors; provide information or assistance as requested in a professional and courteous manner.

  1.  

Effectively communicate with staff and general public.

  1.  

Update, reorder, and maintain an adequate supply of all printed material.

  1.  

Reserve meeting rooms, supply and coordinate material for meetings, including media and printed material; arrange for food/drinks when appropriate.

  1.  

Maintain a schedule of appointments and make travel arrangements for coordinator.

  1.  

Process monthly travel requests for teachers; keep monthly travel reports. 

  1.  

Maintain confidentiality of information.                                    

  1.  

Complies with directions and instructions from supervisor and performs other tasks and assumes such responsibilities as related to the position and that may be assigned.

Maintains positive and cooperative working relationships with colleagues and others in the conduct of district business and demonstrates team work in daily activities.

Is prompt and timely in completing assignments and attending to details accurately and efficiently.

Meets attendance standards and complies with notification procedures for absences.

Provides complete and accurate information in the conduct of district business.

Maintains confidentiality in the conduct of district business.

Complies with district policies, as well as state and federal laws and regulations.

Adheres to the district’s safety policies and procedures.

Participates in staff development training programs to improve job performance and to remain current on federal, state and local guidelines.

Participates in meetings and special events as assigned.

   25. Input, verify and update PEIMS information as assigned.
   26. Answer phone, route calls, take messages in courteous manner.
   27. Assist the CTE Coordinator, as needed, with all aspects of the CTE Department.

 

EQUIPMENT USED: 
Uses computer, scanner, printer, copier, FAX, calculator, telephone and other office equipment.
 

WORKING CONDITIONS:

Mental Demands: Reading, ability to communicate effectively (verbal and written); ability to perform basic arithmetic and to compile statistical data; maintain emotional control under stress; ability to complete multiple tasks and work with frequent interruptions.

Physical Demands/Environmental Factors:  Repetitive hand motions; prolonged use of  computer terminal, moderate standing, walking, stooping, climbing stairs, bending and lifting.
