773 - Secretary, Director of Athletics


QUALIFICATIONS:        

  1. High school diploma or GED.         

  2. Fifteen hours of college credit; or 3 yrs of general clerical/secretarial experience.

  3. Keyboarding and computer proficiency.       

  4. Have clerical/secretarial experience or background.

REPORTS TO:                     Athletics Director

JOB GOALS:                 

  1. To communicate with school, parents, community;

  2. To maintain budget records, order supplies;

  3. To assist with special projects;

  4. To facilitate office duties and procedures.


TERMS OF EMPLOYMENT:  Noncontractual (At-will); Clerical/Technical Paygrade 4Estimated 228  days;   estimated  8 hours daily Wage/hour status:  Nonexempt


MAJOR RESPONSIBILITIES AND DUTIES
 

  1.  

Works with trainers to maintain injury report files and medical bills.

  1.  

Maintains files relating to medical expenses.

  1.  

Communicates with doctors and hospitals.

  1.  

Maintains computer records of all inventory/purchases of equipment.

  1.  

Assists with bid preparation and compilation.                 

  1.  

Enters purchase order requests; approve payments on purchase orders.

  1.  

Enter work orders for 8 schools and Rose Stadium.                             

  1.  

Works closely with the transportation department for bus schedules.                                                                  

  1.  

Processes requests for money for team travel expense.

  1.  

Compile team schedules for mail-outs.                                                          

  1.  

Process payment of officials and workers for all events.

  1.  

Process ticket sales (5 months) for season tickets, home and away games.

  1.  

Prepare bank deposits from ticket sales, gym rentals, entry fees, expense reports, etc.                        

  1.  

Answer telephones, perform receptionist duties, type correspondence, schedule appointments, order supplies, and maintain files.  

  1.  

Prepare payroll for department, TISD game workers and officials, aquatic center, and gym rentals..

  1.  

Work with gym coordinators on all campuses for gym rentals; receive payments from public for gym rentals; maintain gym rental contracts.

  1.  

Complies with directions and instructions from supervisor; performs other tasks and assumes such responsibilities as may be assigned.

  1.  

Maintains positive and cooperative working relationships with colleagues and others in the conduct of district business and demonstrates teamwork in daily activities.

  1.  

Is prompt, timely, and thorough in completing assignments and attending to details accurately and efficiently.

  1.  

Is regular in attendance and complies with notification procedures for absences.

  1.  

Provides complete and accurate information in the conduct of district business.

  1.  

Maintains confidentiality in the conduct of district business.

  1.  

Complies with district policies, as well as state and federal laws and regulations.

  1.  

Adheres to the district’s safety policies and procedures.

  1.  

Participates in professional development programs, meetings, and special events as assigned.

 

EQUIPMENT USED:

                Uses calculator, copier, typewriter, computer, fax machine, and other office equipment. 

WORKING CONDITIONS:

                Mental Demands:  Reading; ability to communicate effectively (verbal and written); maintain
               emotional control under stress.; ability to perform basic arithmetic;
 

                Physical Demands/ Environmental Factors:  Moderate standing, walking, stooping, bending,
               and lifting. work with frequent interruptions; repetitive hand motions; prolonged use of
               computer.
