770 - SECRETARY, CAMP TYLER


QUALIFICATIONS:        

  1. High School Diploma or GED

  2. Fifteen hours college credit with some business orientation; or equivalent business school background; or three years of general clerical/secretarial experience

  3. Keyboarding and computer proficiency

  4. Computational, organizational, and communication skills

  5. Desire and ability to work with staff, parents, children, and volunteers.

REPORTS TO:      Camp Tyler Director 

 

JOB GOALS:                 

  1. To assure the  smooth operation of the camp office.

  2. To maintain attendance records.

  3. To maintain the financial and payroll records.


TERMS OF EMPLOYMENT:  Noncontractual (At-will); Clerical/Technical Paygrade 5 Estimated 205 days;  Estimated 8 hours daily; Wage/hour status: Nonexempt.


MAJOR RESPONSIBILITIES AND DUTIES
 

1.

Type, post and distribute weekly schedules and menus.                

2.

Renew State Camp License.                                                      

3.

Order health services supplies and keep and inventory of same.  Dispense to appropriate areas.  Act as camp nurse.

4.

Order food from Regional East Texas Food Bank weekly.  Prepare, type and forward report to Food Bank monthly.

5.

Prepare weekly interim reports on attendance of students and forward to accounting department  for billing

6.

Answer and direct all incoming phone calls; greet and direct visitors.                   

7.

Operate computer, both mainframe and personal.     .

8.

Type all correspondence for director; maintain camp files.

9.

Receive and route all communication.  Pick up camp mail.             

10.

Collect and compile information for campus director for the TISD personnel directory.

11.

Request maintenance work orders.                                                        

12.

Maintain schedule for director; maintain active, accurate calendar for daily camp activities.

13.

Maintain schedule for camp use.    

14.

Schedule weekend and summer users at camp and TeePee. 

15.

Schedule and plan menus for catered meals.

16.

Schedule farm and Outreach Programs.

17.

Prepare bank deposits for all income at camp (I. e.; camp craft store, camp snack store and catering, farm income, donations, etc.)

18.

Balance camp store money boxes weekly, making sure appropriate change is available (securing change from bank if necessary).

19.

Calculate and prepare sales tax reports.

20.

Maintain a running balance on the campus budget; check budget codes on monthly printout.

21.

Draft, type and mail bills; i.e., weekend users, catered meals, day users.

22.

Prepare payroll reports, personnel absent from duty reports and substitute teacher reports for faculty, substitutes, clerical, custodians, kitchen staff, and transportation.

23.

Maintain time cards ready for audit.

24.

Inventory and order supplies.

25.

Type all purchase orders, warehouse requests; type requisitions for materials from outside vendors.

26.

Maintain a record of supplies on hand.

27.

Complies with directions and instructions from supervisor and performs other tasks and assumes such responsibilities as related to the position and may be assigned.

28.

Maintains positive and cooperative working relationships with colleagues and others in the conduct of district business and demonstrates team work in daily activities.

29.

Is prompt and timely in completing assignments and attending to details accurately and efficiently.

30.

Is regular in attendance  and complies with notification procedures for absences.

31.

Provides complete and accurate information in the conduct of district business.

32.

Maintains confidentiality in the conduct of district business.

33.

Complies with district policies, as well as state and federal laws and regulations.

34.

Adheres to the district’s safety procedures and policies.

35.

Participates in professional development programs, meetings, and special events as assigned.

 

EQUIPMENT USED: 

Uses computer, typewriter, printer, copier, FAX, calculator, and telephone. 

 

WORKING CONDITIONS: 

Mental Demands: Reading, ability to communicate effectively (verbal and written); ability to perform basic arithmetic and to compile statistical data; maintain emotional control under stress. 

Physical Demands/Environmental Factors:  Repetitive hand motions; prolonged use of computer terminal;  heavy lifting required.
