769 - FOOD SUPPLY CLERK/BOOKKEEPER


QUALIFICATIONS:        

  1. High School Diploma or GED

  2. Fifteen hours college credit with some business orientation; or equivalent business school background; or three years of general clerical/secretarial experience

  3. Keyboarding and computer proficiency

  4. Computational, organizational, and communication skills

REPORTS TO:                     COORDINATOR, FOOD SERVICES

 

JOB GOALS:                 

  1. To maintain accurate records of all warehouse supply transactions.

  2. To coordinate deliveries of warehouse supplies to all schools and administrative departments with warehouse shipping.

  3. To monitor the accuracy of requisitions before and after completing the order.

  4. To ensure proper food/supply orders from campus to vendors.


TERMS OF EMPLOYMENT:  Noncontractual (At-will); Paygrade 4  Estimated 228  days;   estimated 8 hours  daily  
Wage/hour status:  Nonexempt


MAJOR RESPONSIBILITIES AND DUTIES
 

  1.  

Processes and checks all submitted requisitions for items ordered on a weekly schedule, or as needed.

  1.  

Verifies account codes for accuracy and availability of funds.   

  1.  

Verifies the accuracy of the requisitions after they are filled, and before they are shipped to the campuses.

  1.  

Inputs information into the computer; maintains files of transactions.    

  1.  

Maintain grocery order guides for accuracy or price and product count according to bid specifications.
  1.  

Checks in all delivered supplies, requisitioned against purchase order.

  1.  

Input into computer receipts for merchandise received at warehouse.

  1.  

Inventory all supplies on a regular basis and reports discrepancies to coordinator.

  1.  

Coordinates with Shipping and Receiving the pick up and delivery of food and supplies to all campuses.

  1.  

Review all grocery orders  for accuracy and inputting completed orders into the ordering system for delivery.
  1.  

Acts as liaison between schools and vendors.
  1.  

Assist with bid specification of items and maintaining records of usage on such items.
  1.  

Work with campus managers and kitchen staff to help ensure proper delivery of product.
  1.  

Notify schools of all new items as well as discontinued items.

  1.  

Provides information to staff; answer questions in a polite and professional manner.

  1.  

Cooperates with other office personnel in scheduling deliveries.

  1.  

Assist with training issues on receiving deliveries according to proper state and local health guidelines.

  1.  

Ensures the blanket PO's for food and supplies are up-to-date each month.
  1.  

Collect and organize all receipts from schools and match to vendor statements to be paid each month.
      20. Work with accounts payable department to ensure all bills are up-to-date.
  1.  

Complies with directions and instructions from supervisor and performs other tasks and assumes such responsibilities as related to the position and may be assigned.

EQUIPMENT USED: 

Uses computer, typewriter, printer, copier, FAX, calculator, and telephone.

May be required to learn to operate a fork-lift and drive panel trucks. 

WORKING CONDITIONS: 

Mental Demands: Reading, ability to communicate effectively (verbal and written); ability to perform basic arithmetic and to compile statistical data; maintain emotional control under stress. 

Physical Demands/Environmental Factors:  Repetitive hand motions; prolonged use of computer terminal;  heavy lifting required; CDL (Commercial Drivers License)

may be required if future needs require larger trucks for delivery; insurable.
