765C - SECRETARY, Food Service


QUALIFICATIONS:        

  1. High School Diploma or GED

  2. Fifteen hours college credit with some business orientation; or equivalent business school background; or three years of general clerical/secretarial experience

  3. Keyboarding and computer proficiency

  4. Computational, organizational, and communication skills

REPORTS TO:         Coordinator of Food Service            

JOB GOALS:                 

  1. To maintain accounts payable and payroll.

  2. To maintain  a knowledge of  the food service accounts.

  3. Work with vendors and accounting in maintaining accounts and up to date records.


TERMS OF EMPLOYMENT:  Noncontractual (At-will); Clerical/Technical Paygrade4 Estimated 226 days;  estimated 8 hours  daily Wage/hour status:  Nonexempt


MAJOR RESPONSIBILITIES AND DUTIES
 

  1.  

Maintain complete and systematic records of the food service department’s payroll and accounts payable transactions.

  1.  

Maintain accounts by verifying, allocating, and posting transactions.

  1.  

Work with the accounting department to make inquiries and resolve discrepancies in account records.

  1.  

Transfer funds between accounts as directed by the Coordinator of Food Service.

  1.  

Prepare payroll and cost reports as requested.

  1.  

Assist the Coordinator of  Food Service with preparation of financial statements and budget
amendments.

  1.  

Maintain physical and computerized files and records.

  1.  

Assist supervisors and cafeteria managers with their payroll and accounts payable questions when requested.

  1.  

Complies with directions and instructions from supervisor and performs other tasks and assumes such responsibilities as related to the position and may be assigned.

  1.  

Maintains positive and cooperative working relationships with colleagues and others in the conduct of district business and demonstrates team work in daily activities.

  1.  

Is prompt and timely in completing assignments and attending to details accurately and efficiently.

  1.  

Has regular attendance  and complies with notification procedures for absences.

  1.  

Provides complete and accurate information in the conduct of district business.

  1.  

Maintains confidentiality in the conduct of district business.

  1.  

Complies with district policies, as well as state and federal laws and regulations.

  1.  

Adheres to the district’s safety policies and procedures.

  1.  

Participates in staff development training programs to improve job performance.

  1.  

Participates in meetings and special events as assigned.

  1.  

Work with and assist supervisors of food service with any clerical needs.
  1.  

Work with supervisors of food service and managers in verifying payroll and maintaining accuracy in processing monthly payroll.
    21. Prepare purchase orders as needed for department of food service.

EQUIPMENT USED: 

Uses computer, typewriter, printer, copier, FAX, calculator, and telephone. 

WORKING CONDITIONS: 

Mental Demands: Reading, ability to communicate effectively (verbal and written); ability to perform basic arithmetic and to compile statistical data; maintain emotional control under stress. 

Physical Demands/Environmental Factors:  Repetitive hand motions; prolonged use of computer terminal;  works with many interruptions.
