763 - SECRETARY, SPECIAL EDUCATION RESOURCE SYSTEM (SERS)


QUALIFICATIONS:        

  1. High school diploma or GED; business school or college credits; or three years secretarial or related experience preferred               

  2. Demonstrates interest in and aptitude for work to be performed

  3. Ability to grow professionally

  4. Keyboarding and computer proficiency

  5. Organizational, computation, and communication skills

REPORTS TO:                SPECIAL EDUCATION DIRECTOR     

JOB GOALS:                 

  1. Facilitates operation of Special Education Materials System


TERMS OF EMPLOYMENT:  Noncontractual (At-will); Clerical/Technical Paygrade 3 Estimated 226 days; estimated 8 hours daily;         Wage/hour status:  Nonexempt


MAJOR RESPONSIBILITIES AND DUTIES
 

  1.  

Package materials for van delivery.

  1.  

Assume responsibility for the orderliness and cleanliness of shelved materials.

  1.  

Maintain materials inventory.

  1.  

Delete out-dated and unusable materials from holdings.

  1.  

Monitor materials budget to ensure appropriate expenditures within the budget framework.

  1.  

Maintain budget on EXCEL (i.e. posting encumbered amounts, Transactions, etc.)

  1.  

Process purchase order requests, as necessary.

  1.  

Receive and accession materials.

  1.  

Coordinate with purchasing department and accounting department to insure proper handling and payment of orders.

  1.  

File and process correspondence and phone messages concerning orders and requests.

  1.  

Maintain a file of catalogs for reference.

  1.  

File purchase order information.

  1.  

Maintain and provide a current and accurate list of software and other    materials used by teachers and staff in Special Education.

  1.  

Contact proper in-district and/or out-of-district repairpersons.

  1.  

Assist teachers and support staff in locating appropriate materials and equipment.

  1.  

Work to develop a cooperative relationship with vendors.

  1.  

Work with principals and instructional consultants to provide materials for students and staff.

  1.  

Process workshop/conference registration forms and payment of fees.

  1.  

Type correspondence, as requested and required.

  1.  

Maintain office supplies for department.

Relieve secretaries in department as needed.

  1.  

Process direct pay requests.

  1.  

Substitute, as needed, for secretary that operates the postage machine.

  1.  

Complies with directions and instructions from supervisor and performs other tasks and assumes such responsibilities as may  be assigned.

  1.  

Maintains positive and cooperative working relationships with colleagues and others in the conduct of district business and demonstrates team work in daily activities.

  1.  

Is prompt and timely in completing daily tasks.

  1.  

Meets attendance standards and complies with notification procedures for absences.

  1.  

Provides complete and accurate information in the conduct of district business.

  1.  

Maintains confidentiality in the conduct of district business.

  1.  

Complies with district policies, state and federal laws and regulations, as well as special education policies and procedures.

  1.  

Maintains log of physician/medical bills, receipt of report, and payment of services.

  1.  

Complies with “Expectation/Guidelines for the Special Education Department”.

  1.  

Adheres to the district’s safety procedures and policies.

  1.  

Participates in staff development training programs to improve job performance.

  1.  

Participates in meetings and special events as assigned.

 

EQUIPMENT USED: 

                Uses copier, computer, Microsoft Office, typewriter, printer, fax.

                Mental Demands:  Reading; ability to communicate effectively (verbal and written); maintain
                         emotional control under stress. 

                Physical Demands/Environmental Factors:  Repetitive hand motions;  moderate standing,
                          stooping, bending and lifting; prolonged use of computers; works with frequent
                          interruptions; stands at copy machine for prolonged periods of time.
