762 - SECRETARY, DIRECTOR ALTERNATIVE LEARNING CENTER


QUALIFICATIONS:        

  1. High School Diploma or GED

  2. Fifteen hours college credit with some business orientation; or equivalent business school background; or three years of general clerical/secretarial experience

  3. Keyboarding and computer proficiency

  4. Computational, organizational, and communication skills

  5. Ability to work with constant interruptions and with various district employees.           

REPORTS TO:         DIRECTOR, ALTERNATIVE LEARNING CENTER            

JOB GOALS:                 

  1. To  maintain the campus financial records.

  2. To  facilitate office duties


TERMS OF EMPLOYMENT:  Noncontractual (At-will);Paygrade   4 Estimated 200  days;   estimated 8 hours  daily


MAJOR RESPONSIBILITIES AND DUTIES
 

  1.  

Responsible for maintaining accurate attendance records.

  1.  

Enrollment of students in proper area, including securing required documents.

  1.  

Request, receive, and send student record information.

  1.  

Record and update information for each student’s cumulative folder.

  1.  

Enter enrollment data into computer and maintain information current.

  1.  

Prepare visiting teacher referrals.

  1.  

Ability to assist with student crises.

  1.  

Prepare all student report cards manually.

  1.  

Enter discipline referrals on computer.

  1.  

Report to transportation any students who are temporarily or permanently barred from
 transportation.

  1.  

Type all correspondence with regard to suspension and ensure parents are notified.  This also includes emergency removals when required.

  1.  

Ensure that parents of students who have been assigned detention are contacted and will provide transportation.

  1.  

Answer and direct all incoming phone calls.

  1.  

Operate personal computer.

  1.  

Receive and route communication.

  1.  

Collect and compile information for campus directory for insertion into T.I.S.D. personnel
directory.

  1.  

Type all correspondence, reports, budget, purchase orders, warehouse requests, award
 certificates.

  1.  

Type master schedule.

  1.  

Type weekly bulletin.

  1.  

Type withdrawal forms for students.

  1.  

Order all supplies for the school and machines; order repairs on machines.

  1.  

Input teacher evaluations for principal once a year at designated time; compile year end
information for certification/records.

  1.  

Assist with Workers’ Compensation forms.

  1.  

Post school calendar.

  1.  

Maintain Activity Fund and General Operating Budget.

  1.  

Accept textbook fines turned into teachers; give refunds when books are found.

  1.  

Receive money, make deposits, and pay all bills.

  1.  

Record and maintain records of student daily lunch purchases.

  1.  

Maintain a running balance on the campus budget; check budget codes on monthly printout.

  1.  

Maintain records of money received on lost and damaged textbooks.

  1.  

Assist with substitutes, getting them signed in, orienting them to the school.

  1.  

Check beginning of school to make sure all student records are current.

  1.  

Serve as registrar for student records.

  1.  

Compute time cards; type absent from duty reports, calculate payroll for teachers, substitutes, clerical/technical, and manual trades; turn in timely.

  1.  

Maintain all student accounts.

  1.  

Collect and compile data for T.I.S. D. personnel directory from campus.

  1.  

Order from graphics and data processing departments, as required.

  1.  

Assist with projects, fire-drills, and meeting; run school related errands as required.

  1.  

Inventory and order supplies; type purchase orders, warehouse requests; type requisitions for materials from outside vendors; maintain record of supplies on hand.

  1.  

Complies with directions and instructions from supervisor and performs other tasks and assumes such responsibilities as may be assigned.

  1.  

Maintains positive and cooperative working relationships with colleagues and others in the
conduct of district business and demonstrates team work in daily activities.

  1.  

Is prompt, timely, and thorough in completing assignments and attending to details accurately and efficiently.

  1.  

Meets attendance standards and complies with notification procedures for absences.

  1.  

Provides complete and accurate information in the conduct of district business.

  1.  

Maintains confidentiality in the conduct of district business.

  1.  

Complies with district policies, as well as state and federal laws and regulations.

 

EQUIPMENT USED: 

                Uses computer (name word processor software), typewriter, printer, and copier. 

WORKING CONDITIONS: 

                Mental Demands: 

               Reading; ability to perform basic arithmetic; ability to communicate effectively (verbal and
               written); maintain emotional control under stress. 

                Physical Demands/Environmental Factors: 

                Repetitive hand motions; prolonged use of computer.  Works with frequent interruptions.
