761 - SECRETARY, ASSISTANT PRINCIPAL, MIDDLE SCHOOL


QUALIFICATIONS:        

  1. High School Diploma or GED

  2. Fifteen hours college credit with some business orientation; or equivalent business school background; or three years of general clerical/secretarial experience

  3. Keyboarding and computer proficiency

  4. Computational, organizational, and communication  skills

  5. Ability to work with constant interruptions and with various district employees.                           

REPORTS TO:                     CAMPUS PRINCIPAL AND ASSISTANT PRINCIPAL(S)

JOB GOALS:                 

  1. To  facilitate the disciplinary process, as well as other areas assigned to assistant principals, such as custodian, work orders for repairs, lockers, free lunch/lunch room duty, textbooks, custodial supplies, etc.


TERMS OF EMPLOYMENT:  Noncontractual (At-will);Paygrade3   Estimated 195 days;   estimated 8 hours  daily Wage/Hour Status:  Nonexempt


MAJOR RESPONSIBILITIES AND DUTIES
 

  1.  

Maintain physical and computerized files of the students’ parents names, phone numbers, addresses, and places of work.

  1.  

Prepare written correspondence, forms, schedules, or reports as requested, using a personal computer or typewriter.

  1.  

Maintain physical and/or computerized file of student referrals; prepare documentation for review committee when necessary.

  1.  

Maintain files of bus and behavior cards.

  1.  

Process student tardy referrals, issue student passes or refer to Assistant Principal when  applicable.

  1.  

Process D-Hall assignments as requested by Assistant Principals and Counselors.

  1.  

Prepare and process required paperwork for students assigned to OCD.

  1.  

Maintain physical and computerized files on textbooks; process teacher requests for textbooks.

  1.  

Prepare students locker lists containing numbers and combinations; distribute the lists to the appropriate teachers.

  1.  

Assist students, teachers, and parents as needed.

  1.  

Receive incoming calls, take reliable messages, and route to appropriate staff.

  1.  

Schedule parents for volunteer assignments; welcome the parents to the campus.

  1.  

Monitor student workers, when assigned.

  1.  

Process custodial and maintenance work orders.

  1.  

Perform routine bookkeeping tasks when requested, including simple arithmetic operations, to maintain campus budget and/or textbook account.

  1.  

Receipt moneys received for lost textbooks.

  1.  

Sort and deliver mail and other documents.

  1.  

Complies with directions and instructions from supervisor and performs other tasks and assumes such responsibilities as may be assigned.

  1.  

Maintains positive and cooperative working relationships with colleagues and others in the conduct of district business; demonstrates teamwork in daily activities.

  1.  

Is  prompt, timely, and thorough in completing assignments and attending to details accurately and efficiently.

  1.  

Is regular in attendance and complies with notification procedure for absences.

  1.  

Provides complete and accurate information in the conduct of district business.

  1.  

Maintains confidentiality in the conduct of district business.

  1.  

Complies with district policies, as well as state and federal laws and  regulations.

  1.  

Adheres to the district’s safety policies and procedures.

  1.  

Participates in staff development training programs to improve job performance.

  1.  

Participates in faculty meetings and special events as assigned.

 

EQUIPMENT USED:   

                Uses computer, typewriter, printer, fax, calculator, and copier. 

WORKING CONDITIONS:

Mental  Demands:  Reading; ability to perform basic arithmetic; ability to communicate effectively (verbal and written); maintain emotional control under stress. 

Physical Demands/Environmental Factors:  Repetitive hand motions; prolonged use of computer.  Frequent lifting of heavy boxes.  Works with frequent interruptions.
