759 SECRETARY, SUPERVISOR OF TRANSPORTATION SERVICES


QUALIFICATIONS:

  1. High School diploma or GED

  2. Fifteen semester hours of college credit with some business orientation or equivalent business school background or 3 years of general clerical/secretarial experience.

  3. Demonstrates interest in and aptitude for work to be performed.

  4. Ability to grow professionally.

  5. Keyboarding and computer proficiency.

  6. Computation, organizational, and communication skills.

  7. Negative mandatory OTETA test.

REPORTS TO:                                    DIRECTOR OF TRANSPORTATION 

JOB GOALS:

  1. Maintain an efficient office management system.

  2. Develop and maintain both manual and computerized record systems.

  3. Assist supervisor in accomplishing departmental goals.


TERMS OF EMPLOYMENT:  Noncontractual (At-will);  Clerical/ Technical Paygrade 4;   Estimated 228 days;   estimated  8 hours daily Wage/hour status:  Nonexempt


MAJOR RESPONSIBILITIES AND DUTIES
 

  1.  

Draft, type, and mail office correspondence.

  1.  

Deliver outgoing mail to the appropriate central distribution boxes and distribute incoming mail within the department.

  1.  

Prepare purchase order requests; maintain purchase order/invoice file.

  1.  

Maintain office supply inventory.

  1.  

Prepare and coordinate in-district requisitions and requests.

  1.  

Answers telephone promptly with a friendly, helpful attitude.

  1.  

Maintain and schedule appointments for supervisor.

  1.  

Maintain all personnel records of current and previous employees for transportation department.

  1.  

Maintain monthly payroll records; prepare appropriate reports.

  1.  

Maintain driver certification, licensing and physical examination records; coordinate appropriate procurement efforts.

  1.  

Prepare and maintain department injury and accident records.

  1.  

Prepare and forward trip, fuel, and service invoices.

  1.  

Maintain bus rider assignment records, files, and reports.

  1.  

Is familiar with bus routes, two-mile limits, school attendance areas, and rider assignments.

  1.  

Accurately responds to inquiries related to routes, limits, assignments, and attendance boundaries.

  1.  

Maintain map files.

  1.  

Complies with directions and instructions from supervisor and performs other tasks and assumes such responsibilities as related to the position and may be assigned.

Maintains positive and cooperative working relationships  with colleagues and others in the conduct of district business and demonstrates team work in daily activities.

Is prompt and timely in completing daily tasks.

Meets attendance standards and complies with notification procedures for absences.

Mental Demands:

Reading; ability to communicate effectively (verbal and written); maintain emotional control under stress; ability to maintain effective control over groups of students. 

Physical Demands/Environmental Factors:

Repetitive hand motions; prolonged use of computer terminal; works with frequent interruptions.  Work outside and inside; moderate exposure to extreme temperatures (hot) and vehicle fumes.
