758 - SECRETARY, HEAD START


QUALIFICATIONS:        

  1. High School Diploma or GED

  2. Fifteen hours college credit with some business orientation; or equivalent business school background; or three years of general clerical/secretarial experience

  3. Keyboarding and computer proficiency

  4. Computational, organizational, and communication skills                      

REPORTS TO:  HEAD START DIRECTOR           

JOB GOALS:     

  1. To  ensure the efficient operation of the head start office and provide clerical services for the school’s staff.


TERMS OF EMPLOYMENT:  Noncontractual (At-will); Paygrade4 Estimated 226 days; estimated 8 hours  daily


MAJOR RESPONSIBILITIES AND DUTIES
 

1.

Receive telephone calls, respond to telephone inquiries.

2.

Greet guests and visitors positively.

3.

Type and process purchase requisitions, direct pays, graphics work orders, maintenance work orders, and transportation requests.

4.

Operate the computer effectively, timely, and efficiently; revise and assist in typing area plans.

5.

Assist in typing monthly Policy Council and office staff meeting notices, agendas, sign-in sheets, minutes, budget,  roster and staff meeting minutes, when applicable.

6.

Organize and type Policy Council Notebook for officers and New Staff Orientation Notebooks for new staff.

7.

File, organize, and prepare information for quick and easy access.

8.

Assist in typing and updating memos and letters as assigned by the director.

9.

Assist in ordering supplies.

10.

Operate copy machines, adding machines, network printers, and laminator.

11.

Assist in the preparation of annual grant proposals for continuation, one-time funds, and cost of living and expansion proposals.

12.

Maintain, monitor, and keep abreast of the on-going balances, budgets and coding of Head Start expenditures; ensure proper coding of all accounts prior to forwarding to the Accounting department.

13.

Type and cut out assignment cards for Case Managers.

14.

Submit and provide accurate and timely payments for services rendered to the Head Start program.

15.

Prepare monthly payroll reports and weekly time cards.

16.

Maintain accurate finance expenditures and balances on an on-going basis for auditing purposes; correlate balances with the monthly printout, ensure that all incurred costs are allowable.

17.

Assist  in the resolution of audit exceptions and the implementation of the auditors’ recommendations; assure the accurate and consistent recording and reporting of financial data.

18.

Compies with directions and instructions from supervisor and performs other tasks and assumes such responsibilities as related to the position and may be assigned.

19.

Maintains  positive and cooperative working relationships with colleagues and others in the conduct of district business and demonstrates team work in daily activities.

20.

Is prompt and timely in completing daily tasks.

21.

Meets attendance standards and complies with notification procedures for absences.

22.

Provides complete and accurate information in the conduct of district business.

23.

Maintains confidentiality regarding any matter impacting personnel in the conduct of district business.

24.

Complies with district policies, as well as state and federal laws and regulations.

 

EQUIPMENT USED:
Uses computer, typewriter, printer, copier, calculator, and telephone.

Repetitive hand motions; prolonged use of computer terminal; works with constant interruptions.
