757 SECRETARY, Anderson Educational Complex


QUALIFICATIONS:

  1. High School Diploma or GED

  2. Fifteen hours college credit with some business orientation; or equivalent business school background; or three years of general clerical/secretarial experience

  3. Keyboarding and computer proficiency

  4. Computational, organizational, and communication skills

  5. Ability to work with constant interruptions and with various district employees.                           

REPORTS TO:                                    DIRECTOR,  Alternative Instructional Programs

JOB GOALS:

  1. To  provide communication assistance between director, faculty, and campus.

  2. To provide data compilation, maintenance, and report generation assistance.

  3. Office management. 


TERMS OF EMPLOYMENT:  Noncontractual (At-will); Paygrade 4 Estimated 204  days;   estimated 8 hours  daily Wage/hour status:  nonexempt


MAJOR RESPONSIBILITIES AND DUTIES
 

  1.  

Compile and maintain data; generate reports.

  1.  

Enter data into mainframe system.

  1.  

Assist in maintaining budget records.

  1.  

Enter Teen Age Parent Program (TAPP) student information into mainframe system.

  1.  

Maintain PACE student credit file and record PEIMS information.

  1.  

Enroll and withdraw students at PACE, TAPP, PRS, Child Care Center, and Evening school.

  1.  

Maintain alternative instructional programs and ETI student records.

  1.  

Perform duties concerning alternative instructional programs’ student attendance.

  1.  

Maintain secretarial duties, maintain departmental files.

  1.  

Prepare money deposit for Child Care Center and Evening school.

  1.  

Prepare payroll for all PACE and Child Care employees.

  1.  

Secure substitutes for PACE and Child Care.

  1.  

Schedule meeting rooms and refreshments, as requested.

  1.  

Type, duplicate, and assemble information requested for meeting; supply materials for meetings.

  1.  

Maintain travel file.

  1.  

Act as secretary for At-Risk Coalition.

  1.  

Answer telephones, direct calls; take accurate messages; schedule appointments.

  1.  

Maintain and order supplies from distribution center and outside vendors.

  1.  

Process purchase orders; file reimbursement requests; process special service requests.

  1.  

Use available software programs to develop forms ad formats for generation of data, records, and
reports.

  1.  

Complies with directions and instructions from supervisor and performs other tasks and assumes
such responsibilities a related to the position and may be assigned.

  1.  

Maintains positive and cooperative working relationships with colleagues and others in the
conduct of district business and demonstrates team work in daily activities.

  1.  

Is prompt and timely in completing daily tasks.

  1.  

Meets attendance standards and complies with notification procedures for absences.

  1.  

Provides complete and accurate information in the conduct of district business.

  1.  

Maintains confidentiality regarding any matter impacting personnel in the conduct of district
business.

  1.  

Complies with district policies, as well as state and federal laws and regulations.

  1.  

Adheres to the district’s safety procedures and policies.

  1.  

Participates in staff development training programs to improve job performance.

  1.  

Participates in faculty meetings and special events as assigned.

 

EQUIPMENT USED: 

Uses computer, typewriter, printer, copier, calculator, time clocks, and telephone.

WORKING CONDITIONS:

Mental Demands: Reading, ability to communicate effectively (verbal and written); maintain emotional control under stress.

Physical Demands/Environmental Factors:  Repetitive hand motions; prolonged use of computer terminal; works with constant interruptions.
