756 SECRETARY, DIRECTOR OF BILINGUAL/ESL


QUALIFICATIONS:

  1. High School Diploma or GED

  2. Fifteen hours college credit with some business orientation; or equivalent business school background; or three years of general clerical/secretarial experience

  3. Keyboarding and computer proficiency

  4. Computational, organizational, and communication skills

  5. Verbal and written  Spanish fluency

REPORTS TO:             Director of Bilingual/ESL

JOB GOALS:

  1. To facilitate the smooth operation of the Bilingual/ESL dept.

  2. To assist with purchase order requests.

  3. To assist the bilingual teachers, bilingual aides, and ESL aides.

  4. To translate for the campuses and district, as needed.


TERMS OF EMPLOYMENT:  Noncontractual (At-will); Paygrade   4 Estimated 228  days;   estimated 8 hours  daily


MAJOR RESPONSIBILITIES AND DUTIES
 

  1.  

Input purchase order requests  for each teacher when purchasing items from an outside vendors.

  1.  

Input distribution center requests, as requested.

  1.  

Maintain each teacher’s budget and inventory.                                                     

  1.  

Receive, stamp, disseminate material to appropriate campuses.

  1.  

Maintain accurate and current records for Bilingual/ESL teachers and aides, including course stipends.

  1.  

Make room and refreshment arrangements for staff development training and general
Bilingual/ESL meetings; provide information on developmental activities.

  1.  

Maintain PEIMS data throughout the year for Bilingual offices.                           

  1.  

Welcome visitors, answer phones, take messages, direct messages as required.

  1.  

Order and maintain supplies as needed.

  1.  

Translate for parents in areas involving education, as needed.

  1.  

Arrange travel for director, consultants, and teachers.

  1.  

Maintain a regular filing system and process incoming correspondence as instructed.

  1.  

Maintain bilingual department general budget. 

  1.  

Maintain EIEP grants, Pre-K expansion grants and any other grants awarded.

  1.  

Obtain and organize pertinent data as needed and put in usable form.

  1.  

Ability to communicate effectively in Spanish.      

  1.  

Assist the district’s receptionist by interpreting for non-English speaking parents, visitors, and
district personnel as needed.

  1.  

Translate for Central Administration personnel as needed for lunch applications, minority
transfers, business matters, Central Review Committees, ARDS, and other areas as needed.

  1.  

Assist LEP students and their parents coordinate appointments with school, nurse, doctor, and
parents.

  1.  

Assists all principals, instructional consultants, teachers, nurses, and other support personnel
regarding attendance, and the instructional, social, emotional, and physical needs of students
whose parents are non-English speakers; assists in the  revision of district-wide assessments.                                                                                             

  1.  

Assists special education department by serving as an interpreter when making telephone calls to parents that are non-English speakers.

  1.  

Administer oral language proficiency tests to students who are entering school for the first time
and have a home language survey other than English.

  1.  

Complies with directions and instructions from supervisor and performs other tasks and assumes such responsibilities as related to the position and assigned.

  1.  

Maintains positive and cooperative working relationships with colleagues and others in the
conduct  of district business and demonstrates team work in daily activities.

  1.  

Is prompt and timely in completing assignments and attending to details accurately and
efficiently.

  1.  

Is regular in attendance and complies with notification procedures for absences.

  1.  

Provides complete and accurate information in the conduct of district business.

  1.  

Maintains confidentiality in the conduct of district business.

  1.  

Complies with district policies, as well as state and federal laws and regulations.

  1.  

Adheres to the district’s safety policies and procedures.

  1.  

Participates in staff development training programs to improve job performance.

  1.  

Participates in meetings and special events assigned.

EQUIPMENT USED:

Uses computer, typewriter, printer, copier, FAX, calculator, transparency machine, laminating machine, binder, and telephone.

WORKING CONDITIONS:

Mental Demands: Reading, ability to communicate in English and Spanish effectively (verbal and written); ability to perform basic arithmetic; maintain emotional control under stress; works with frequent interruptions.

Physical Demands/Environmental Factors:  Repetitive hand motions; prolonged use of computer terminal; occasionally lifting heavy boxes; works with frequent interruptions.
