755 SECRETARY, ELEM. & SECOND. SP ED. APPRAISAL FACILITATOR


QUALIFICATIONS:

  1. High school diploma or GED; business school or college credits; or three years secretarial or related experience preferred               

  2. Demonstrates interest in and aptitude for work to be performed

  3. Ability to grow professionally

  4. Keyboarding and computer proficiency

  5. Organizational, computation, and communication skills

REPORTS TO:                  ELEMENTARY & SECONDARY SPECIAL EDUCATION  FACILITATOR

JOB GOALS:

  1. Assure the smooth and efficient operation of the office for maximum positive impact on education of children

  2. Facilitate communication between staff, campuses, parents, and community

  3. Maintains special education administrative records, including referrals


TERMS OF EMPLOYMENT:  Noncontractual (At-will); Clerical/Technical Paygrade 3 Estimated 226 days;   estimated 8 hours daily Wage/hour status:  nonexempt          


MAJOR RESPONSIBILITIES AND DUTIES

  1. Types a variety of materials such as letters, memos, reports, correspondence and speech agendas.

  2. Design and type new forms from draft.  Revise forms as Texas Education Agency rules change.

  3. Receive calls and processes PPCD/Speech/Private School Referrals.

  4. Answer telephones, distribute messages as needed.

  5. Orders supplies and maintains supply closet.

  6. Completes work orders as needed by the department.

  7. Receive and complete requests from other school districts and agencies for student records (folders and microfilm).

  8. Mail request to other districts, doctors, hospitals, etc. for information required on students.

  9. Duplicate various documents, forms, etc., for TISD personnel.

  10. Mail copies of materials regarding workshops, notices of meetings, and general information.

  11. Prepare inactive confidential folders for microfilming, i.e. organize materials in proper order, remove staples, paper clips; microfilm.

  12. Coordinate the referral process (i.e. proof and organize referral packets, obtain missing forms for referral, etc.)

  13. Maintain referral log.

  14. Aggregate data from referrals.

  15. Open mail, distribute mail as required; process incoming correspondence as required.

  16. Maintain regular filing system.

  17. Maintain filing system of inactive folders.

  18. Maintain forms in file cabinet.

  19. Welcome visitors

  20. Act as liaison between consultants and other personnel.

  21. Complies with directions and instructions from supervisor and performs other tasks and assumes such responsibilities as may be assigned.

  22. Maintains positive and cooperative working relationships with colleagues and others in the conduct of district business; demonstrates teamwork in daily activities.

  23. Is prompt and timely in completing daily tasks.

  24. Meets attendance standards and complies with notification procedures for absences.

  25. Provides complete and accurate information in the conduct of district business.

  26. Maintains confidentiality regarding personnel matters in the conduct of district business.

  27. Complies with district policies, state and federal laws and regulations as well as special education policies and procedures.

  28. Complies with “Expectations/Guidelines for the Special Education Department.

  29. Adheres to the district’s policies and procedures.

  30. Participates in staff development training programs to improve job performance.

  31. Participates in meetings and special events as assigned.

 

EQUIPMENT USED:

Uses computer (Microsoft Office, Nut Plus, Presentations), typewriter, printer, copies, microfilm recorder, viewer, printer machine.

WORKING CONDITIONS:

Mental Demands:  Reading; ability to communicate effectively (verbal and written); maintain
emotional control under stress.

Physical Demands/Environmental Factors:  Repetitive hand motions;  moderate standing, stooping, bending, and lifting;  prolonged use of computer;  works with frequent interruptions; stands at copy machine for prolonged periods of time.
