738 SECRETARY, HIGH COUNSELORS


QUALIFICATIONS:

  1. High school diploma or GED   

  2. Demonstrates interest in and aptitude for work to be performed

  3. Desire and ability to work with children

  4. Keyboarding and computer proficiency

  5. Have experience related to working with students or parents

REPORTS TO: Counselors

JOB GOALS:

  1. Organize and manage the work activities of the Counselors’ office.

  2. To provide clerical services to the Counselors

  3. To supervise student aides, when applicable


TERMS OF EMPLOYMENT:  Noncontractual (At-will); Clerical/Technical Paygrade 2

 Estimated 188 days;   estimated  8 hours daily   Wage/hour status:  Nonexempt


MAJOR RESPONSIBILITIES AND DUTIES

 

  1. Receive and direct incoming calls, take reliable messages, and route to appropriate staff.

  2. Greet and direct visitors to the office.

  3. Assist public, staff, and students as needed.

  4. Schedule appointments for counselors.

  5. Sort, distribute, or deliver mail, messages, and other documents.

  6. Assist with budget compilation.

  7. Maintain inventory as requested.

  8. Prepare correspondence, forms, reports, etc. for the counselors.

  9. Assist teachers and parents in getting student assignments for students with long-term absences.

  10. Collect and file drop/add slips after attendance clerks have checked for signatures.

  11. Assist counselors in preparing for senior activities, including but not limited to assemblies, awards, and graduation.

  12. Assist counselors in organizing, implementing, and following up on all standardized tests.

  13. Supervise student aides as directed.

  14. Assist the counselors with master schedule changes and adjustments.

  15. Assist the counselors with correspondence and activities regarding colleges and universities.

  16. Translates as need (Tyler only)

  17. Complies with directions and instructions from supervisor; performs other tasks and assumes such responsibilities as may be assigned.

  18. Maintains positive and cooperative working relationships with colleagues and others in the conduct of district business and demonstrates teamwork in daily activities.

  19. Is prompt, timely, and thorough in completing assignments and attending to details accurately and efficiently.

  20. Meets attendance standards and complies with notification procedures for absences.

  21. Provides complete and accurate information in the conduct of district business.

  22. Maintains confidentiality in the conduct of district business.

  23. Complies with district policies, as well as state and federal laws and regulations.

  24. Adheres to the district’s safety policies and procedures.

  25. Participates in staff development training programs to improve job performance.

  26. Participates in faculty meetings and special events as assigned.

EQUIPMENT USED:

                Uses personal computer, typewriter, copier, printer, calculator, and fax machine.

WORKING CONDITIONS:

Mental Demands:  Reading; ability to communicate effectively (verbal and written) ; maintain emotional control under stress.

Physical Demands/ Environmental Factors: Work with frequent interruptions; Repetitive hand motions, frequent stooping and lifting.
