737A Receptionist/Switchboard, High School


QUALIFICATIONS:        

  1. High school diploma or GED

  2. Receptionist or switchboard experience or background

  3. Experience related to working with parents.

  4. Keyboarding and computer proficiency

  5. Bilingual (Spanish) preferred

REPORTS TO: Principal; Campus Operations Manager

JOB GOALS:                 

  1. To professionally greet visitors to campus and operate the switchboard

  2. To reproduce instructional materials.

  3. To assist with securing substitutes.


TERMS OF EMPLOYMENT: Noncontractual (At-will); Clerical/Technical Paygrade 2 Estimated 226 days; estimated 8 hours daily Wage/hour status: Nonexempt


MAJOR RESPONSIBILITIES AND DUTIES

 

  1. Receive and direct incoming calls; take messages or route to appropriate staff.

  2. Greet and direct visitors to the school.

  3. Assist public, staff, and students as needed.

  4. Maintain visitor log and issue visitor passes.

  5. Prepare mailing labels using personal computer or typewriter.

  6. Organize supply of announcement sheets; organize announcements for intercom; take all intercom calls.

  7. Assist with filling unexpected or unfilled teacher and paraprofessional substitute vacancies. (Lee Only)

  8. Assist in orienting substitutes to the campus procedures.

  9. Assist with preparation of materials for mailing, including preparing labels, stuffing envelopes, etc.

  10. Provide clerical assistance as needed.

  11. Sort U.S. and interdistrict/campus mail and distribute.

  12. Make intercom announcements.

  13. Assist the Principal’s secretary as needed.

  14. Act as the first source of information for campus visitors.

  15. Answer basic questions for visitors and callers

  16. Look basic information up in the computer system

  17. Inform visitors of required paperwork to complete actions such as enrollment, withdrawals, transfers, etc.

  18. Ensure that visitors have the appropriate paperwork etc. before directing them to appropriate departments.

  19. Refer more complex questions to the appropriate staff member.

  20. Assist registrar in printing transcripts from the student computer system.

  21. Receive and catalog information from other campus staff in order to answer questions received via phone or walk-in.

  22. Maintain the teacher sign-in log.

  23. Receive and distribute all mail and packages; keep updated package log transferred.

  24. Order office supplies.

  25. Prepare labels for mass mailings (newsletter, test results, report cards).

  26. Complies with directions and instructions from supervisor; performs other tasks and assumes such responsibilities as may be assigned.

  27. Maintains positive and cooperative working relationships with colleagues and others in the conduct of district business and demonstrates teamwork in daily activities.

  28. Is prompt, timely, and thorough in completing assignments and attending to details accurately and efficiently.

  29. Meets attendance standards and complies with notification procedures for absences.

  30. Provides complete and accurate information in the conduct of district business.

  31. Maintains confidentiality in the conduct of district business.

  32. Complies with district policies, as well as state and federal laws and regulations.

  33. Adheres to the district’s safety policies and procedures.

  34. Participates in staff development training programs to improve job performance.

  35. Participates in faculty meetings and special events as assigned.

EQUIPMENT USED:

                Uses multi-line phone system, personal computer, typewriter, copier. 

WORKING CONDITIONS:

Mental Demands:  Reading; ability to communicate effectively (verbal and written); maintain emotional control under stress. 

Physical Demands/ Environmental Factors: Work with frequent interruptions; continuous sitting.
