JOB GOALS:                                     

  1. To assist the Human Resources Department to operate in a smooth and efficient manner.

  2. To maintain the online application process.


TERMS OF EMPLOYMENT:  Noncontractual (At-will);Clerical/Technical Paygrade3 Estimated 228  days;   estimated 8 hours  daily Wage/hour status:  nonexempt    


MAJOR RESPONSIBILITIES AND DUTIES
 

1.    

Welcome and facilitate visitors; provide information or assistance as needed.

2.    

Process Human Resource Department mail.

3.    

Assist in maintaining the personnel files, as needed.

4.    

Answer the director's telephone in the absence of the secretary or when mult-lines are ringing; maintain a helpful, positive manner when responding to inquiries.

5.    

Assist in preparation of department correspondence, reports, board agenda items, etc., as requested.

6.    

Prepare Sick Leave Bank monthly notices and agendas and assist with other areas of Sick Leave Bank and/or Pool as requested.

7.    

Arrange and process recruiting trips, including requests for registration fees and other necessary arrangements are made. Prepare recruiting materials and act as liaison between department and recruiters. Make sure that all preparations are complete and reimbursements for recruiters are requested in a timely manner.

8.    

Post Professional/Administrative vacancy announcements to TASA and Region VII internet sites and other sites as requested.

9.    

Download and copy Administrative/Professional and Clerical/Technical Job Vacancy announcements and post in lobby of Administration Complex.

10. 

Communicate with applicants and provide information needed. Assist applicants with the online application process.

11. 

Maintain files for the administration/professional interview process.

12. 

Coordinate clerical/technical job description process by notifying supervisors and providing assistance as needed.

13. 

Assist in preparing personnel records for microfilming, shredding or destruction as needed.

14. 

Assist in the preparation of surveys as requested by the director.

15. 

Distribute Administration Building payroll checks each month.

16. 

Assist with current up-to-date base of new hires and data base of retirees each year and distribute list as requested.

17. 

Demonstrate willingness to assist in other areas of the Human Resource Department as requested.

18. 

Assist with employment verification inquiries.

19. 

Maintain Photo ID badge process for employees and volunteers.

20. 

Prepare PDAS notebooks and updates.

21. 

Limits personal telephone calls during the business day.

22. 

Complies with directions and instructions from supervisor and performs other tasks and assumes such responsibilities as related to the position and assigned.

23. 

Is prompt and timely in completing assignments and attending to details accurately and efficiently.

24. 

Is regular in attendance and complies with notification procedures for absences.

25. 

Provides complete and accurate information in the conduct of district business.

26. 

Maintains confidentiality in the conduct of district business.

27. 

Complies with district policies, as well as state and federal laws and regulations.

28. 

Adheres to the district's safety policies and procedures.

29. 

Participates in staff development training programs to improve job performance.

30. 

Participates in meetings and special events as assigned.

 

EQUIPMENT USED:

Uses computer, typewriter, printer, copier, FAX, calculator, photo badge maker, and telephone. 

WORKING CONDITIONS: 

Mental Demands: Reading, ability to communicate effectively (verbal and written); ability to perform basic arithmetic; maintain emotional control under stress; works with frequent interruptions. 

Physical Demands/Environmental Factors:  Repetitive hand motions; prolonged use of computer terminal; occasionally lifting heavy boxes; works with frequent interruptions.
