725A - ATTENDANCE CLERK, ELEMENTARY SCHOOL


REPORTS TO: Assistant Principal of Attendance  

 

QUALIFICATIONS:        

  1. Be a high school graduate or hold a GED certificate;

  2. Fifteen hours college credit with some business orientation or equivalent business school background, or two years of experience as Education Secretary I;

  3. Have related clerical or secretarial experience or background;

  4. Keyboarding and computer proficiency and computation skills preferred;

  5. Organization and communication skills;

  6. Desire and ability to work with students and effectively communicate with staff, students, and parents.

JOB GOALS:                 

  1. To maintain accurate attendance records

  2. To prepare attendance reports that meet local, state, and federal requirements;                                       

  3. To prepare and monitor referrals to parents and visiting teachers;

  4. To assist in the office as needed. 


 TERMS OF EMPLOYMENT:  Noncontractual (At-will); Clerical/Technical Paygrade 3 Estimated 188 days;

MAJOR RESPONSIBILITIES AND DUTIES

 

1.       

Post absences for student absence cards sent to the attendance office by teachers.

2.       

Clear up single period absences; check with teachers to confirm student is absent or tardy.

3.       

Make referrals to attendance officers of student single period and excessive absences.  Make referral to Assistant Principals.

4.       

Maintain attendance for each period.  Confirm questionable absences and tardies with teachers.

5.       

Enter field trip/school activity days on computer.

6.       

Print daily summary and Attendance Not Taken reports each day.

7.       

Keep daily records of entry and transfer students.

8.       

Issue admits and permits to students in assigned grade level.

9.       

Retrieve data concerning excused and unexcused absences for students with five or more absences;  print profiles for distribution.

10.    

Ensure accurate information is available as needed for I.S.S. assignments or suspensions.

11.    

Maintain daily attendance worksheet.

12.    

Receive incoming calls from parents of absent students; maintain record on reason for absence.

13.    

Receive calls from parents of students who need to leave school at a designated time.

14.    

Contact parents to check why a student is absent and why parents have not called.

15.    

Contact parents when students are ill and nurse is off duty.

16.    

Refer attendance problems to attendance officers; compile and print absence report.

17.    

Inform and make referrals to assistant principals and counselors.

18.    

Track number of tardiness and enter information on the student’s attendance record.  Initiate the preparation of the form after excessive tardiness according to board policies procedures.

19.    

After three tardies notify assistant principal and issue detention to students.

20.    

Write passes for students when tardy due to excused or unexcused appointments.

21.    

Check Verification of Enrollment and Attendance for 90 percent attendance.

22.    

Truancy verification for court

23.    

Check and enter TAKS attendance and follow up on absences.

24.    

Make copies of withdrawal information for attendance clerks and data entry personnel.

25.    

Maintains daily attendance worksheet by each six weeks.

26.    

Complies with directions and instructions from supervisor and performs other tasks and assumes such responsibilities as may be assigned.

27.    

Maintains positive and cooperative working relationships with colleagues and others in the conduct of district business and demonstrates team work in daily activities.

28.    

Is prompt, timely, and thorough in completing assignments and attending to details accurately and efficiently.

29.    

Meets attendance standards and complies with notification procedures for absences.

30.    

Provides complete and accurate information in the conduct of district business.

31.    

Maintains confidentiality in the conduct of district business.

32.    

Complies with district policies, as well as state and federal laws and regulations.

33.    

Adheres to the district’s safety policies and procedures.

34.    

Participates in staff development training programs to improve job performance.

35.    

Participates in meetings and special events as assigned.

WORKING CONDITIONS:
Mental Demands:
Reading; ability to perform basic arithmetic; ability to communicate effectively (verbal and
written); maintain emotional control under stress.

Physical Demands/Environmental Factors:
Repetitive hand motions; prolonged use of computer. Works with frequent interruptions.
