724 Middle School Records/Scheduling Clerk 1000+ Students


QUALIFICATIONS:        

  1. High School Diploma or GED

  2. Two years experience as Educ. Secy I; or

  3. 15 hours college credit with some business orientation; or equivalent business school background; or three years of general clerical/secretarial experience

  4. Keyboarding and computer proficiency

  5. Computational, organizational, and communication skills

REPORTS TO:              Counselors and Building Principal           

JOB GOALS:                 

  1. To maintain accurate attendance records;

  2. To prepare attendance reports that meet local, state and federal requirements;

  3. To prepare and monitor referrals to parents and visiting teachers;

  4. To assist in the office as needed.


TERMS OF EMPLOYMENT:  Noncontractual (At-will); Clerical/Technical Paygrade 3   Estimated 204 days;  
estimated 8 hours  
daily Wage/Hour Status:  Nonexempt


MAJOR RESPONSIBILITIES AND DUTIES
 

  1.  

Enroll all new students; secure all necessary enrollment data; determine guardianship; verify residence in school attendance area.

  1.  

Make cumulative record folder (Academic Achievement Record) for each student enrolled.

  1.  

Verify new student’s withdrawal from previous school and request records.  Call previous school if necessary to clarify classes scheduled, grades, or special programs.

  1.  

Distribute information packets to parents; assist with bus information.    

  1.  

Make counselor aware of any pertinent information about student, previous school history, etc.  Introduce student and parent to counselor for scheduling.

  1.  

Record entry and withdrawal date on permanent record for each student and maintain accurate family information.

  1.  

Affix final grade and test labels.  Record grades when student withdraws. 

  1.  

Destroy report cards over six years of age and reorganize all drop students and no show students yearly.

  1.  

Send transcripts/records to schools for withdrawals and for school and state officials, teachers, TEA, Juvenile probation and any other requesting agency.

  1.  

Enter and maintain all enrollment information on students.

  1.  

Enter schedules and schedule changes as directed by counselors.

  1.  

Input all course requests during the spring scheduling process.

  1.  

Enter six weeks grade corrections.

  1.  

Enter and maintain tags for at-risk, 504, and all eligibility lists as directed by counselors.

  1.  

Enter all data processing requests for the campus including regular reports and labels for mail outs and other projects.

  1.  

Print reports as needed for student activities, scheduling, class loads.

  1.  

Print administrative mailing labels and prepare mail out  of administrative postings.

  1.  

Pick up progress reports, grade correction sheets, report cards and other reports from data processing.

  1.  

Distribute grade correction sheets to teachers and maintain record of all returned sheets.

  1.  

Sort and distribute progress reports and report cards to teachers.

  1.  

Collect and file teacher grade books at the end of each school year.  Destroy old ones after six years.

  1.  

Assist counselors and principal with correspondence and other Keyboarding and word processing.

  1.  

Answer phones, take messages, assist teachers with records as needed.

  1.  

Prepare labels for mass mailings and other documents..

  1.  

Complies with directions and instructions from supervisor and performs other tasks and assumes such responsibilities as related to the position and assigned.

  1.  

Maintains positive and cooperative working relationships with colleagues and others in the conduct of district business and demonstrates team work in daily activities.

  1.  

Is prompt and timely in completing assignments and attending to details accurately and efficiently.

  1.  

Is regular in attendance and complies with notification procedures for absences.

  1.  

Provides complete and accurate information in the conduct of district business.

  1.  

Maintains confidentiality in the conduct of district business.

  1.  

Complies with district policies, as well as state and federal laws and regulations.

  1.  

Adheres to the district’s safety policies and procedures.

  1.  

Participates in staff development training programs to improve job performance.

  1.  

Participates in faculty meetings and special events as assigned.

 

EQUIPMENT USED:
Uses personal computer, typewriter, printer, copier, FAX, calculator, and telephone.

WORKING CONDITIONS:
Mental Demands: Reading, ability to communicate effectively (verbal and written); ability to perform basic arithmetic; maintain emotional control under stress; works with frequent interruptions.

Physical Demands/Environmental Factors: Repetitive hand motions; prolonged use of computer terminal; occasionally lifting heavy boxes.
