722 A SECRETARY, COORDINATOR OF DISTRICT INSTRUCTIONAL ASSESSMENTS


 

QUALIFICATIONS:        

  1. High School Diploma or GED

  2. Two years experience as Educ. Secy I; or 15 hours college credit with some business orientation; or  equivalent business school background; or three years of general clerical/secretarial experience

  3. Keyboarding and computer proficiency

  4. Computational, organizational, and communication skills

REPORTS TO:                     Coordinator of District Instructional Assessments

JOB GOALS:                 

  1. To communicate with schools, parents, and community and community leaders.

  2. To assure the smooth and efficient operation of the office.

  3. To maintain accurate and complete campus and district benchmark testing results.

  4. To maintain a professional and cooperative atmosphere with colleagues at the administrative and campus level.

  5. To maintain budget reports, order supplies, and assist with special projects.


TERMS OF EMPLOYMENT:  Noncontractual (At-will);Clerical/ Technical Paygrade  4 Estimated 226 days;  

estimated 8 hours  daily


MAJOR RESPONSIBILITIES AND DUTIES
 

1.    

Answer  telephones, perform receptionist duties, and maintain files.

2.    

Welcome and facilitate visitors; provide information or assistance as needed.

3.    

Effectively  communicate with staff and general public.

4.    

Update, reorder, and maintain an adequate supply of all printed materials.                                  

5.    

Reserve meeting rooms, supply and coordinate materials for meetings, including media and printed materials; arrange food/drinks when appropriate.                

6.    

Maintain calendar of events and meetings; set appointments for Coordinator.   

7.    

Route all incoming correspondence; type, duplicate, and route all outgoing correspondence.

8.    

Maintain budget and balance monthly budget printout.

9.    

Process purchase orders, data processing orders, and material and supply orders.

10. 

Process service requests.

11. 

Type agenda items for monthly board of trustees meetings, when needed.

12. 

Assist in preparing district and state reports.

13. 

Collect, process, distribute, and maintain accurate records for district accountability benchmark assessment program.

14. 

Manage technology and materials for production, scoring, and reporting for district
accountability benchmark assessment program.

15. 

Process graphic orders for benchmark assessment tests for all campuses, grades 2 - 11, according to assessment calendar.

16. 

Maintain a student assessment database for all students for district benchmark assessments.

17. 

Generate pre-slugged answer sheets for all students for district benchmark assessments.

18. 

Scan and score benchmark assessments for all elementary, middle, and high school campuses each testing cycle.

19. 

Generate a variety of reports for campuses and district based on benchmark assessment results.

20. 

Arrange travel for professional meetings.

21. 

Arrange lodging accommodations.

22. 

Prepare travel expense reports.

23. 

Assist with the Holistic Scoring Composition records for Performance Plus Writing in grades 2-11 for each campus and for the district

24. 

Assist with the TPRI/TEJAS lee campus, district, and state reports.

25. 

Assist with the Optional Extended Year program's campus, district, and other reports.

26. 

Update check-off and distribution sheets before each testing date for each subject area and grade level.

27. 

Utilize check-off sheets to indicate progression of reports by dating and initializing each task as it is completed.

28. 

Notifies coordinator when tasks are completed.  Demonstrates willingness to assist in other areas as needed.

29. 

Limits personal telephone calls during the business day.

30. 

Complies with directions and instructions from supervisor and performs other tasks and assumes such responsibilities as related to the position and assigned.

31. 

Maintains positive and cooperative working relationships with colleagues and others in the conduct of district business and demonstrates team work in daily activities.

32.

Is prompt and timely in completing assignments and attending to details accurately and efficiently.

33.

Is regular in attendance and complies with notification procedures for absences.

34.

Provides complete and accurate information in the conduct of district business.

35.

Maintains confidentiality in the conduct of district business.

36.

Complies with district policies, as well as state and federal laws and regulations.

Adheres to the district’s safety policies and procedures.

Participates in staff development training programs to improve job performance.

Participates in meetings and special events as assigned.

EQUIPMENT USED:
Uses computer (Window 2000, Microsoft Access, Excel, and iSeries preferred), typewriter, printer, copier, FAX, calculator, and telephone.

WORKING CONDITIONS:
Mental Demands: Reading and math skills; ability to communicate effectively (verbal and written); ability to maintain emotional control under stress; ability to work effectively with frequent interruptions; and willingness to work overtime during peak times

Physical Demands/Environmental Factors: Moderate standing, repetitive hand motions, prolonged use of computer terminal, walking, stooping, bending, and lifting
