711I Office Assistant to High School Bookkeeper & Registrar


 

QUALIFICATIONS:        

  1. Be a high school graduate or hold a GED certificate;

  2. Have experience related to working with students or parents;

  3. Keyboarding and computer proficiency preferred;

  4. Desire and ability to work with and effectively communicate with staff, students, and parents.

REPORTS TO:         Building Principal/Administrator assigned            

JOB GOALS:                 

  1. To assist the Registrar as assigned.

  2. To assist the Bookkeeper as assigned.              


TERMS OF EMPLOYMENT:  Noncontractual (At-will); Clerical/Technical Paygrade Estimated 188  days;   estimated 8 hrs dailyWage/Hour Status:  Nonexempt


MAJOR RESPONSIBILITIES AND DUTIES
 

  1.  

Assist registrar with receptionist duties; including data input, making appointments, copying, Keyboarding, filing, faxing, enrolling and withdrawing students.

  1.  

Maintain records of all copies made.

  1.  

Assist with answering the telephone and taking messages..

  1.  

Assist with student filing, including but not limited to:  current student files, scholastic drop files, cumulative files (daily), and posting and filing standardized test scores.

  1.  

Assist with processing transcript requests.

  1.  

Counter responsibilities including, but not limited to:  receiving textbook payments, selling football tickets, issuing payroll checks, handling requests/questions from faculty.

  1.  

Filing responsibilities, including but not limited to:  check requests, P.O.s, warehouse orders, printshop orders, and maintaining the numeric canceled check file.

  1.  

Assist with processing the verification tape for checks to be deposited; researching needed P.O.s or check requests.

  1.  

Process incoming bookkeeper’s mail and all outgoing mail

  1.  

Complies with directions and instructions from supervisor and performs other tasks and assumes such responsibilities as may be assigned.

  1.  

Maintains positive and cooperative working relationships with colleagues and others in the conduct of district business and demonstrates teamwork in daily activities.

  1.  

Is prompt, timely, and thorough in completing assignments and attending to details accurately and efficiently.

  1.  

Meets attendance standards and complies with notification procedures for absences.

  1.  

Provides complete and accurate information in the conduct of district business.

  1.  

Maintains confidentiality in the conduct of district business.

  1.  

Complies with district policies, as well as state and federal laws and regulations.

  1.  

Adheres to the district’s safety policies and procedures.

  1.  

Participates in staff development training programs, faculty meetings, and special events as assigned.

 

EQUIPMENT USED:

Personal computer, typewriter, laminator, copier, duplicators, paper cutter, hole puncher; fax machine

WORKING CONDITIONS:

Mental Demands/Physical Demands/Environmental Factors:
Moderate lifting, carrying, standing, stooping, and bending. Exposure to duplicator fluids, inks and toner. Reading; ability to communicate effectively (verbal); maintain emotional control under stress.
