711H Instructional/Counselor's Office Assistant


QUALIFICATIONS:        

  1. Be a high school graduate or hold a GED certificate;

  2. Have experience related to working with students or parents;

  3. Keyboarding and computer proficiency with general office experience, preferred;

  4. Desire and ability to work with and effectively communicate with staff, students, and parents.

REPORTS TO:      Principal/Records & Scheduling Officer               

JOB GOALS:                 

  1. To assist the counselors as assigned.

  2. To supervise student aides.

  3. To assist in the campus offices, as assigned.


TERMS OF EMPLOYMENT:  Noncontractual (At-will); Clerical/Technical Paygrade 1                                                      Estimated 185  days;   estimated 8 hrs daily


MAJOR RESPONSIBILITIES AND DUTIES
 

  1.  

Assist with answering the telephone and taking messages for counselors.

  1.  

Assist the secretary in scheduling appointments for students, parents, faculty, and staff.

  1.  

Assist with maintaining an appointment calendar for each counselor; apprise each counselor of his/her daily appointments.

  1.  

Assist the counselor’s secretary in notifying teachers with students have a long-term absence; assist the secretary in collecting assignments.

  1.  

Maintain accurate records of daily student transactions.

  1.  

Deliver student messages as needed for counselors.                                         

  1.  

Post college and career student information, as requested.       

  1.  

Assist in maintaining the counselors’ supply inventory.

  1.  

Maintain the counselors’ area in neat and tidy appearance.

  1.  

Be knowledgeable of all areas of the enrollment and scheduling process.

  1.  

Assist the counselors in preparing the testing materials.                   

  1.  

File the standardized test scores as requested.                                

  1.  

Assist in maintaining the SAT and ACT testing materials.  

  1.  

Supervise student aides.            

  1.  

Assist in assigning student aides new students; oversee the new students’ campus tours.

  1.  

Assist in training student aides in filing procedures for counselors.

  1.  

Comply with directions and instructions from supervisor, perform other tasks and assume such responsibilities as may be assigned.

  1.  

Maintain positive and cooperative working relationships with colleagues and others in the conduct of district business and demonstrates teamwork in daily activities.

  1.  

Is prompt and timely in completing daily tasks.

  1.  

Meet attendance standards and comply with notification procedures for absences.

  1.  

Provide complete and accurate information in the conduct of district business.

  1.  

Maintain confidentiality in the conduct of district business.

  1.  

Adheres to the district’s safety procedures and policies.

  1.  

Complies with district policies, as well as state and federal laws and regulations.

  1.  

Participates in staff development training programs to improve job performance.

  1.  

Participates in meetings and special events as assigned.

WORKING CONDITIONS:

Mental Demands: Reading; ability to communicate effectively (verbal and written); ability to
perform basic arithmetic; maintain emotional control under stress

Physical Demands/Environmental Factors: Moderate standing, stooping, bending; heavy
lifting.
