707 Head Start Clerical Assistant


QUALIFICATIONS:        

  1. Be a high school graduate or hold a GED certificate;

  2. Have experience related to working with students or parents;

  3. Keyboarding and computer proficiency, with general office experience, preferred

  4. Desire and ability to work with and effectively communicate with staff, students, and parents.

  1. To assist in the operation of the Head Start Office

  2. To maintain accurate records as required


TERMS OF EMPLOYMENT:  Noncontractual (At-will); Clerical/Technical Paygrade1 Estimated 185, 205, or 226 days;   estimated 8 hrs daily  Wage/hour status:  nonexempt


MAJOR RESPONSIBILITIES AND DUTIES
 

  1.  

Greet guests and visitors positively; answer inquiries, direct visitors to the appropriate offices.

  1.  

Assist in operating the computer effectively, timely, and efficiently; reviews completed work for content, grammatical construction, format, spelling, and punctuation.

  1.  

Assists in revising and typing component plans for Head Start (periodically).

  1.  

Assists in typing monthly Policy Council and Office Staff meeting notices, agendas, sign-in sheets, and staff meeting minutes.

  1.  

Assists in collecting and preparing current information for individual campus directories and the TISD personnel directory.

  1.  

Assists in phoning and/or typing maintenance requests.

  1.  

Assists in filing information for quick and easy access and maintaining a follow-up file for pending items.

  1.  

Assists in typing, updating, and disseminating of class rolls; assists in typing and saving memos and letters, as assigned by the Director.

  1.  

Assists in coordinating work scheduled for ETI summer employees.

  1.  

Assists in scheduling and maintaining records of local and out-of-state travel.

  1.  

Assists in operating the copy machines, adding machines, postage machines, fax, laminator and poster machine.

  1.  

Assists in answering incoming calls, taking and relaying all messages.

  1.  

Assists in recording and reminding the Director of appointments; makes reservations and travel arrangements as necessary.

  1.  

Assist in the preparation of annual grant proposals for continuations, One Time, Cost of Living, and Expansion funds for the current and on-going school year (grant cycle).

  1.  

Assists in maintaining, monitoring, and keeping abreast of the on-going balances, budgets and coding of the Head Start daily, weekly, monthly, and yearly expenditures.

  1.  

Assists in typing purchase orders for all billings and items requested from the bid list; assist in ensuring the proper coding of all accounts prior to forwarding to the Accounting/Purchasing departments.

  1.  

Assists in submitting and providing accurate and timely payments for services rendered to our program.

  1.  

Assists in calculating and preparing time cards and time sheet; assists in preparing monthly payroll reports, calculating weekly time cards and monthly absence from duty reports for submitting to the accounting department.

  1.  

Assists in maintaining accurate finance expenditures and balances on an on-going basis for auditing purpose at any given time, correlating balances with the monthly printout, and ensuring   that all incurred costs are allowable.

  1.  

Assist in the resolution of audit exceptions and the implementation of auditors recommendations; assists in assuring the accurate and consistent recording and reporting of financial data.

  1.  

Assists with maintaining student folders that are set to individual campuses and/or to Central Administration.

  1.  

Assists with addressing and mailing student classroom assignment cards.

  1.  

Assists with enrolling students in emergency situations, and in providing enrollment information to parents.

  1.  

Assists in contacting parents for emergencies.

  1.  

Assists in ordering, inventorying and maintaining office and classroom supplies.

  1.  

Maintains a knowledge of available materials and their locations.

  1.  

Assists in labeling, documenting, receiving, and distributing materials.

  1.  

Complies with directions and instructions from supervisor; performs other tasks and assumes such responsibilities as may be assigned.

  1.  

Maintains positive and cooperative working relationships with colleagues and others in the
conduct of district business and demonstrates teamwork in daily activities.

  1.  

Is prompt, timely, and thorough in completing assignments and attending to details accurately and efficiently.

Physical Demands/Environmental Factors: Moderate standing, walking, stooping, bending, and lifting; work with frequent interruptions; repetitive hand motions; prolonged use of computer.
